PRIVACY POLICY

Effective Date: May 28, 2026


1. Data Commitment. Sporty-Clips, LLC is committed to the secure management of athletic media. We limit data collection to the minimum required to deliver high-end photography, graphics, and prints.


2. Information Collection. We collect only the data necessary to fulfill your orders and manage the "Vault" system:

  • Signer Data: Contact (Email/Phone) and billing information.
  • Participant Data: Visual/audio likeness and performance details (e.g., jersey #, team name) used for FaceFind indexing, custom graphics, and gallery organization.
  • Event-Specific Records: To maintain security and compliance, a unique Digital Delivery Agreement is required for each specific event, season or engagement.


3. Use of Data & Consent. Data is used exclusively for service delivery, order communication (Email/SMS), and secure gallery organization. Explicit consent from the Digital Delivery Agreement is required before any images are used for Sporty-Clips marketing. To maintain brand standards, unedited drafts or RAW files are never released.


4. Third-Party Processing. We utilize world-class partners to ensure professional-grade security:

  • Correspondence: Managed via Proton, the leader in encrypted email.
  • Gallery Delivery: Handled by PhotoDay and Pixieset.
  • Payments: Processed securely via Stripe.
  • Redundancy: Encrypted cloud storage via Backblaze. We do not sell or trade personal information to third-party marketers.
  • Site Analytics & Tracking: Utilizing the Meta Pixel and analytics tools to optimize site performance and marketing relevance.


5. Security & The "Vault" System. Media is delivered via secure, SSL-encrypted galleries to authorized participants and team/organizational families and staff.

  • Redundancy: High-resolution masters are stored in an encrypted "Triple-Vault" system (including off-site cloud storage) to protect against hardware failure.
  • User Responsibility: You are responsible for the confidentiality of your unique gallery links, SMS access codes, and credentials.


6. Retention & Takedowns.

  • Vault Archive: Final deliverables are maintained in the Vault for a minimum of one (1) year from the Date of Capture to facilitate re-orders and recruitment needs.
  • Access Requirements: Access to archived media remains subject to a verified Digital Delivery Agreement for that specific event and the applicable Vault Re-Index Fee.
  • Purge Policy: Raw footage and unedited drafts are purged 30 days after the final gallery launch.
  • Incidental Privacy: We honor removal requests for individuals incidentally captured in multi-user venues. Verified requests are processed within 30 days via privacy@sporty-clips.com.


7. Children’s Privacy (COPPA). Sporty-Clips, LLC captures media of student-athletes. I do not knowingly collect personal information from children under 13 without verifiable parental consent provided via the Digital Delivery Agreement.


8. Your Rights & Notifications. You may review, request deletion, or withdraw marketing consent at any time via email. In the event of a data breach involving sensitive information, I will notify affected users and relevant authorities within 72 hours.
